Valley Transit is seeking a highly organized, and detail-oriented, professional to provide critical administrative and fiscal support to our operations. This position plays an essential role in ensuring accurate payroll processing, financial integrity, and administrative efficiency while supporting Valley Transit’s mission of delivering safe, reliable, and efficient public transportation in the Fox Cities.
This position performs varied and responsible administrative work requiring a high degree of confidentiality, discretion, and independent judgment. The Administrative Support Specialist supports departmental management through complex payroll, fiscal, and administrative functions and serves as a trusted resource for sensitive employee and financial matters.

The Ideal Candidate will have:

o Considerable experience in responsible clerical or administrative work
o An associate degree in Accounting, Administrative Assistant studies, or a related field (or equivalent experience)
o Advanced proficiency in Microsoft Office, particularly Excel and Word
o Strong organizational, time-management, and problem-solving skills
o Demonstrated ability to handle confidential information with discretion
o Ability to work independently and collaboratively in a fast-paced environment

JOB RESPONSIBILITIES

This position oversees department-wide payroll activities, ensuring accurate, timely, and confidential processing in compliance with FLSA guidelines. Responsibilities include reviewing biweekly payroll, auditing overtime and leave balances, reconciling payroll and HR data, processing payroll changes, and preparing year-end payroll activities.

Additional duties include processing accounts payable, maintaining confidential payroll and personnel records, preparing reports, supporting contract monitoring, recording official minutes for the Fox Cities Transit Commission, and providing high-level administrative support to management. Occasional customer service coverage and backup support to the Enterprise Account Manager may be required.
Work is performed under the general supervision of the Enterprise Account Manager and is essential to maintaining operational continuity and fiscal accountability at Valley Transit.
