You’re a Realtor. You’re already juggling clients, showings, negotiations, inspections, listings, emails, texts… the list goes on.
But here’s the real question: Do you really want every deadline, follow-up, document, signature, and tiny loose end living in your head, too?
My job is to keep the transaction moving, keep an eye on the details, follow up on the things that need following up on, and help make sure nothing quietly falls through the cracks.
So instead of thinking: "Wait… did we ever get that signed?”
You can think: “Great. I know that’s being handled.” 🙌

Some transaction habits don’t feel like red flags because they’ve become completely normal. 👀 But if you’re growing your business, these are three things I’d pay attention to:
🚩 **Everything lives in your head.**
You know which client is waiting on what, which lender needs a follow-up, what happened during inspection, which deadline is coming up, and what still needs to be signed…because you remember it. That might work when you have a few transactions. It gets harder when you have 10, 15, or 20 things happening at once.
🚩 **Every transaction gets handled a little differently.**
If your process depends on the specific file, the specific client, or what you happen to remember that day, it becomes much harder to create consistency.
A good transaction process should be repeatable.
🚩 **You only notice the weak spots after something goes wrong.**
The missed detail. The communication gap. The document you thought was handled. The deadline that suddenly became urgent.Those moments are usually telling you something about the process—not just the individual transaction. The goal isn’t to create a complicated system with 47 steps.
It’s to know what should happen, when it should happen, who owns it, and how you’re going to know it actually happened.
Because the systems that support your business when things are calm are the same systems that keep things from unraveling when business gets busy.

My Monday morning doesn’t start with me opening my inbox and hoping it tells me what needs my attention. 😉
Before I get into the day, I want a clear picture of my active transactions, upcoming deadlines, outstanding items, closings on the horizon, and anything that may need extra attention.
☕ What needs a follow-up?
📅 What deadlines are approaching?
📂 Is anything still outstanding?
🏡 Which closings need my attention this week?
📩 Is there anything my agent needs to know or handle?
With hundreds of transactions under my belt, I’ve learned that reacting to whatever hits your inbox first is one of the fastest ways to feel behind. A well-managed transaction should have a system behind it. That’s one of my favorite parts of good transaction management...turning all those moving pieces into a process that feels a whole lot less chaotic.
Before your Monday gets busy, take five minutes to ask yourself:
"What needs my attention this week — and what am I unnecessarily carrying in my head?"

Realtors, this one is for your buyers. 👇
Getting an offer accepted is exciting…And then comes the part where your buyer suddenly starts receiving emails, deadlines, requests, documents, appointments, and instructions from five different directions.
Your buyer should know who they’ll hear from, what they need to watch for, which dates matter, when they need to respond, and who to contact when they have a question. And sometimes, the smallest reminders make the biggest difference:
📩 Check your email. Important requests can be time-sensitive.
🏦 Stay responsive to your lender. Even after pre-approval, there may be more they need along the way.
💳 Don’t make major financial changes without asking first. Yes, even if that new living room furniture would look perfect in the new house. 😉
📅 Know your important dates. Inspection, deadlines, final walk-through, closing...your buyer should know what’s coming next.
❓ Ask questions early. A small question today is much easier to handle than a surprise three days before closing.
🔐 And always verify wiring instructions before sending money. This is one reminder I will happily repeat over and over again.
These things may feel routine when you work in real estate every day, but they are not routine to your client.
Save this for the next time you have a buyer go under contract. And if you’re a Realtor, send it to a client who just got an offer accepted. Sometimes the little reminders are the ones that make the biggest difference.

There’s a big difference between "giving an update" and actually "managing what happens next."
Because “just wanted to let you know…” is great, but then what? 😂
When something happens in a transaction, I’m not just thinking, “Okay, that happened.” I’m thinking:
→ What needs to happen next?
→ Is there a deadline attached?
→ Does someone need a follow-up?
→ Could this turn into a problem later?
→ Does my agent need to jump in?
And one of my biggest ones…
Did it actually get done, or did someone just say they were going to do it?
Because “I sent the email” and “it’s handled” are two VERY different things.
If something falls within my role, I want to know where it stands until the loop is closed. I’m following up, keeping track of the details, documenting what happened, and making sure my agent knows when something actually needs their attention. I’m not here to be the middleman who forwards emails back and forth all day.
I’m here to help keep all those little moving pieces moving — so my agents don’t have to wonder, *“Wait… did that ever get taken care of?”*
A good question to ask yourself about your transaction process:
Do I know it was completed, or do I just know someone said they would do it? There’s a difference. 😉

Your client may not text you the question... but that doesn't mean they aren't thinking about it. 👀
After managing hundreds of transactions, I've learned that some of the most important communication happens before anyone asks for it.
“Here's what happens next.”
“Everything is still on track.”
“You don't need to do anything right now.”
“If this happens, here's what we'll do.”
Those may feel like small updates, but to a client making one of the biggest financial decisions of their life, they're anything but small.
Great transaction management isn't only about deadlines and documents. It's also about anticipating the questions, setting expectations, and helping the client feel informed from contract to close.
Because I'd much rather answer the question at 2 PM than have your client searching for it on Google at 11 PM. 😉

Turns out being the friend who remembers the reservation time, sends the reminder text, makes the itinerary, and asks “did you get that done?” was actually career training. 😂
Now I get paid to keep contracts organized, deadlines moving, documents accounted for, and everyone on the same page.
Basically... I found my calling. 📋

📂 Transaction Tip: Don't just check the box that the addendum is there. Read what it changes.
Contract addenda can add terms, requirements, and sometimes important dates to a transaction.
As a TC, I'm not only making sure the correct documents are in the file. I'm also paying attention to how those documents affect the transaction moving forward.
Does it create another deadline?
Does title or the lender need It?
Is there something that now needs to be followed up on?
Because a complete file isn't just about having all the paperwork...
It's about knowing what that paperwork means for the next step. 📋

One of the biggest misconceptions about transaction coordinators is that we "just handle the paperwork."
The truth?
The paperwork is only one piece of the job.
Behind every transaction, there's a timeline to manage, deadlines to track, questions to answer, vendors to coordinate, clients to update, documents to review, and countless details that all have to come together at the right time.
Most of what I do happens behind the scenes. And honestly, that's exactly where I like to be.
When a transaction feels organized, communication is clear, and everyone knows what to expect, that's not luck. It's the result of preparation, follow-up, and a whole lot of teamwork.
Because transaction coordination isn't about checking boxes...
It's about creating a better experience for everyone involved.

Growth in real estate usually doesn’t happen because you suddenly find more hours in the day.
It happens when your business stops depending on you to remember, manage, and follow up on everything yourself.
The Realtors who are able to grow without constantly feeling behind usually have something in common: systems and support.
That might look like:
• A clear process for every new contract
• Deadlines tracked somewhere other than your head
• Consistent client communication
• Follow-up happening without you having to remember it
• Organized files and compliance
• A trusted TC managing the details once you go under contract
Because closing more transactions shouldn’t automatically mean adding more to your workload.
The goal is to build a business where you can take on the next client without worrying that something will fall through the cracks with the ones you already have.
And sometimes the best system you can put in place is simply knowing what you no longer need to do yourself.
