Someone on your team pasted a customer drawing into ChatGPT this week.
Probably to write an inspection instruction faster. Or to make sense of a tolerance callout.
They didn't ask permission. They won't.
Banning it doesn't work either. It just moves the use to personal phones where you can't see it at all.
The fix is smaller than it sounds. Three lines in your quality manual.
1. What can go in. Which document types are allowed as input, which never are. Customer drawings with NDA terms sit on the never side.
2. Who checks the output. AI drafts, a named person approves. Judgment stays with a human, in writing.
3. Where it gets recorded. Same document control you already run. No new system, no new software.
That's it. Well, almost. You also have to tell people the rule exists, which is the part that usually gets skipped.
Auditors are starting to ask about this. Not in a dramatic way. Just a question about whether AI use is controlled, and a blank look is a finding waiting to happen.

Retraining Jim is the fastest way to get the same finding twice.
I keep running into this on corrective actions. A part gets scrapped, someone asks the supervisor what happened, the supervisor says I guess Jim needs retrained. It gets written down, signed, closed.
That answer is probably made up.
Nobody checked. The supervisor got put on the spot and gave the fastest response that ends the conversation.
The questions that actually needed asking:
1. Did we train Jim at all, or did someone show him once at the machine?
2. Who else got that same training? If it failed for Jim it failed for them too.
3. Is he working from a documented requirement or from whatever the last shift told him?
Jim only goes under the microscope after all of that comes back clean. Usually it doesn't.
Here's what took me too long to figure out. The finding the auditor writes is three levels away from the real problem. You can close it with a form and it comes back next year wearing a different part number.
Fix how the business investigates and the finding stops showing up at all.
Jim was fine, by the way. The work instruction hadn't been updated in four years.
