Risk is often misunderstood.

Risk is not danger.

Risk is uncertainty that carries meaningful consequences.

Professional judgment requires more than identifying risk.

It requires understanding:

* probability,
* impact,
* timing,
* interaction,
* reversibility,
* and opportunity.

Landlord Challenge of the Day

Let’s see how landlords, property managers, and real estate investors think.

You have one rental available.

Two applications land on your desk at the exact same second. Neither has priority based on timing, and both meet your published screening requirements.

Who gets approved?

Applicant #1

* 36 years old
* Married with children
* Same employer for 12 years
* Income nearly 4× the rent
* 695 credit score
* No evictions
* Excellent landlord references
* Approximately $6,000 in a 401(k)

Applicant #2

* Retired three years ago
* Successfully self-employed for more than 10 years before retiring
* 785 credit score
* No debt
* Excellent landlord references
* Retirement income generally covers monthly expenses
* Significant retirement assets, including an IRA, Keogh plan, mutual funds, and other investments

Here’s the challenge…

Assume both applicants qualify under your screening standards, and you’re making a lawful business decision.

Which applicant would you approve?

More importantly…

Why?

There are no right or wrong answers. I’m simply curious how experienced landlords evaluate the exact same facts.

Please keep the discussion respectful. Everyone brings different experiences to the table, and that’s what makes these conversations valuable.

I’m looking forward to reading your thought process.

Problems are rarely caused by a single event.

They are usually the result of small failures in preparation, communication, documentation, or consistency.

Every Investment Property Is a Business

Here’s a thought that changed the way I look at real estate…

Most people think of a rental property as “just a house.”

I don’t.

Every investment property—whether it’s a single-family home, duplex, apartment building, retail space, or warehouse—is a business.

Think about it.

It has:
• Revenue
• Expenses
• Customers (your tenants)
• Suppliers and vendors
• Risk
• Compliance requirements
• Operations
• Assets to maintain
• Capital planning
• Long-term strategy

That’s a business.

Yet many owners don’t operate it that way.

They’ll spend months researching a stock investment, but download the first free lease they find online.

They’ll carefully review a business budget, yet have no maintenance plan, no operating procedures, no documentation standards, and no long-term strategy for their rental.

Successful businesses don’t rely on luck.

They rely on systems.

The same is true for successful investment properties.

The better your systems, the better your decisions.
The better your decisions, the better your property performs.

So here’s a question to think about…

Are you simply owning rental property…or are you operating a real estate business?

There’s a difference—and that difference often determines whether your property becomes a source of freedom or a source of frustration.

The Lease Is the Foundation

Real estate professionals routinely perform due diligence before purchasing an asset. We inspect roofs, foundations, HVAC systems, financial statements, and title reports because we understand that small oversights can become expensive problems.

Yet many rental property owners protect that investment with the first free lease they find online.

It’s an interesting contradiction.

A lease is far more than a legal form. It is an operational document that establishes expectations, allocates responsibilities, creates consistency, and provides the framework for the landlord-tenant relationship.

When that foundation is weak, every challenge that follows becomes more difficult to navigate.

Strong property operations begin long before rent is collected. They begin with thoughtful systems, clear documentation, and a commitment to reducing risk through preparation rather than reacting after problems develop.

At Keystone Property Network, that philosophy is reflected in our Platinum Protection Lease™, developed as part of a broader operational framework focused on helping landlords, property managers, housing providers, and real estate investors build stronger processes—not simply complete transactions.

In business, the quality of your foundation often determines the strength of everything built upon it.

What steps have you taken to ensure your leasing process supports long-term success?

FTC and CFPB Settlement to Require Trans Union to Pay $15 Million over Charges It Failed to Ensure Accuracy of Tenant Screening Reports 07/21/2026

Landlords and property managers, quick heads up if you’re screening rental applicants.

I recently dug into which tenant background check services actually catch eviction history, and it turns out two of the most popular ones have real problems here.

Zillow’s screening: several landlords report that evictions clearly on record in county court never appeared in the Zillow report. Their process is one automated pull, no human double check.

TransUnion SmartMove: this one surprised me. Its screening arm was hit with a $15 million FTC/CFPB fine in 2023 (growing to $23 million) for reporting duplicate, outdated, or even sealed eviction records.

That’s the largest tenant-screening accuracy fine on record. Details here: https://www.ftc.gov/news-events/news/press-releases/2023/10/ftc-cfpb-settlement-require-trans-union-pay-15-million-over-charges-it-failed-ensure-accuracy-tenant

So who’s actually reliable? A few standouts:

• RentPrep, because real people manually verify eviction and criminal records instead of just trusting a database pull

• First Advantage, which lets you choose your credit bureau instead of being locked into one

• CoreLogic MyRental, with one of the biggest eviction/criminal databases outside the credit bureaus

• AAOA, which layers in FBI records, s*x offender registry checks, and bad-check history

• LeaseRunner, which verifies income directly from bank data instead of a pay stub someone could fake
Bottom line: even good screening services can miss things, since a lot of them rely on the same automated court-record databases. If you’re about to sign a lease with someone, it’s worth spending five minutes doing your own free county court search too.

Which screening service do you use? Curious if anyone’s had a similar experience.

If you’d like, I can also connect a pages account so I can post this directly, or adjust the tone/length of either draft.

FTC and CFPB Settlement to Require Trans Union to Pay $15 Million over Charges It Failed to Ensure Accuracy of Tenant Screening Reports The Federal Trade Commission and the Consumer Financial Protection Bureau (CFPB) obtained a settlement that will require credit reporting agency Trans Union LLC and a subsidiary
