Administrator (Construction Industry)

About Us
We are a growing construction company dedicated to delivering high-quality work and
exceptional service. We are seeking a reliable, organized, and professional Secretary / Office
Administrator to join our team and support the daily office operations.
Key Responsibilities
• Manage incoming calls, greet visitors, and handle front desk/reception duties.
• Prepare, edit, and format documents, spreadsheets, and reports using Microsoft Office
(Word, Excel, Outlook, PowerPoint).
• Prepare quotes and invoices accurately and promptly.
• Assist with accounts payable duties, including reviewing and sorting invoices
received from drivers, coordinating payments to suppliers, and maintaining accurate
financial records.
• Support bank-related tasks, including preparing bank transactions and assisting with
payment processing.
• Manage client accounts, follow up on outstanding information, and maintain positive
client relationships.
• Maintain organized filing systems—both electronic and physical.
• Communicate effectively with staff, clients, suppliers, and subcontractors.
• Schedule meetings, appointments, and coordinate calendars.
• Assist with project documentation, work orders, and administrative support for
construction activities.
• Process incoming/outgoing mail and manage office correspondence.
• Order and maintain office supplies; ensure office equipment is functioning properly.
• Support management with general administrative tasks as needed.
• Uphold confidentiality and professionalism at all times.
Requirements
• 2–3 years of administrative or secretarial experience (construction industry
experience is a plus).
• Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
• Strong verbal and written communication skills.
• Excellent organizational skills and attention to detail.
• Ability to prepare quotes, invoices, and assist with basic financial transactions.
• Experience supporting accounts payable or similar administrative finance tasks is an
advantage.
• Ability to multitask, prioritize, and work independently.
• Professional phone etiquette and customer-service-oriented demeanor.
• Reliable, punctual, and trustworthy.
• Ability to work in a fast-paced environment and handle changing priorities.
• High school diploma required; additional administrative training or certification is an
asset.
