⚖️ RECEIPT COURT IS NOW IN SESSION.

Today’s case:

“The charge came from an online retailer, so we categorized it as office supplies.”

Objection.

The vendor name tells us where the money went. The itemized receipt tells us what the business actually bought.

One order could contain printer ink, cleaning supplies, equipment, a replacement part or something personal. Those items don’t all belong in the same category.

Today’s verdict: Save the itemized receipt. Without it, the category may be nothing more than a guess.

Business owners: What’s the strangest description you’ve ever seen on your bank statement?

“You’re all caught up.”

Great, but what does that actually mean?

When you hire someone to manage your books, you should be able to ask:

✔️ Which month is fully reconciled?
✔️ Can I see my Profit & Loss and Balance Sheet?
✔️ Are there missing receipts or unresolved transactions?
✔️ Can you explain anything unusual in my reports?

For monthly bookkeeping, those answers should line up with your agreed services and timeline.

Trust grows when the work is visible, questions are welcomed, and you know what’s finished and what’s still pending.

You don’t need to become an accountant. You deserve to understand what you’re paying for.

Does your bookkeeper understand debits and credits or just the software?

You don’t need to know accounting to run your business. The person handling your books should.

Debits and credits determine how transactions affect what your business owns, owes, earns, and spends. Getting them wrong can leave you with reports that balance, but still tell the wrong story.

A qualified bookkeeper should understand those relationships, reconcile your accounts, investigate discrepancies, and explain your reports in everyday language.

That’s the purpose of having a bookkeeper: dependable records you can use to make business decisions.

A customer pays you. Your bank balance goes up but so can the amount your business owes.

That’s assets and liabilities in action. Cash in the bank is an asset. Sales tax you collected from a customer is a liability until it’s paid to Florida.

If the tax portion gets treated like money your business earned, your reports can tell the wrong story.

Does your balance sheet show both sides? Message me and we’ll take a look.

Think about how your business worked in January. Is that still how it works today?

Maybe you added a service, hired someone, bought equipment, or started taking payments a new way. Your bookkeeping needs to keep up with those changes so your reports reflect the business you’re running now.

As September ends, what’s one thing you’re doing differently than you were at the start of the year?

If you’re wondering whether your books kept up, message me and let’s take a look.

QuickBooks knows you spent $184.37 at an online retailer. It has absolutely no idea what was in the box. 👀

Was it office supplies? Equipment? Materials for a customer job? A personal purchase or five different items that belong in five different categories?

A bank feed description shows the vendor, not the business purpose. Without the receipt, your bookkeeper is left guessing and those guesses can affect your reports and tax records.

Quick poll: Which store causes the most receipt chasing in your business Amazon, Walmart or Lowe’s? 😂

If your books are full of mystery purchases, message me RECEIPTS.

📣📣 Monday Bookkeeping Brief September 28, 2026

1. Save Florida reemployment tax records by September 30. Florida’s old eFile and Pay system will stop providing access to filing history after September 30, 2026. The replacement system is already live. If you handle reemployment tax for clients, download any prior returns and payment confirmations you may need for reconciliations or year end work this week. This is an access deadline, not a new filing deadline.

2. Check Florida payroll rates before the next pay run. Florida’s previously announced minimum wage increase takes effect September 30, 2026, bringing the standard rate to $15 per hour. Review affected employees’ rates, pay periods that cross that date, and the workplace poster. This is a timely implementation reminder; it was announced before this week.

3. Flag a federal leave credit opportunity for the tax preparer. In a September 23 reminder, the IRS highlighted the expanded, permanent paid family and medical leave credit. Eligible employers may claim 12.5% to 25% of qualifying wages for up to 12 weeks; qualifying insurance premiums may also count. For clients offering paid leave, keep the payroll and policy records organized and ask their tax preparer to assess eligibility. The underlying change began in 2026; the IRS reminder is new this week.

Remote bookkeeping should make running your business easier. You can share documents, ask questions, and get help without making a trip to someone’s office.

But who’s checking the work?

Software and AI can suggest where a transaction belongs. A real bookkeeper still needs to review it, reconcile the accounts, and ask questions when something doesn’t add up.

That’s the kind of attention I bring to Virtual Bookkeeping Solutions. If you want remote help from a person who gets to know your business, let’s talk.

If every remote bookkeeping ad is starting to sound the same, skip the sales pitch. Have a conversation.

Tell a bookkeeper how your business actually runs. Mention the part of your books that keeps confusing you. See whether they listen, ask useful questions, and explain things in a way you understand.

There are plenty of choices out there. You deserve someone who takes the time to know your business.

If you’d like to talk through what’s going on in your books, message me. No rehearsed pitch just a conversation.

🤔🤔 Here’s a question to ask yourself.

Before you hand someone the keys to your books, ask more than, “What do you charge?” 😜

Ask what they review after the bank is reconciled. Ask how they handle loans, payroll and owner activity. Ask whether they’ll explain your reports or simply email them.

Your business needs oversight, not just data entry.
