Most workflow automation tools look cheap on the first process and expensive by the fourth.
That gap is where automation budgets quietly break.
When teams on Microsoft 365 and SharePoint evaluate a workflow tool, the demo almost always looks great. One clean flow, one form, everyone nods. The problem shows up later, when you are on your tenth workflow, and the pricing meter has been running on every flow, every step, and every premium connector you didn't know you needed.
A few things worth pressure-testing before you commit to any platform:
- Does the price scale by user, or by flow and action? Per-flow pricing punishes the exact behavior you want (more automation).
- Are the connectors you need standard, or premium add-ons?
- What is the total cost at workflow 20, not workflow 1?
- Does it run where your data lives, including on-premises, or only in the cloud?
One data point that stuck with us: when Air Wisconsin compared options to replace 400+ InfoPath forms, they found a SharePoint-native flat-rate platform came in around ten times cheaper than Nintex, and easier to use than Power Platform. Ten times is not a rounding error. That is a pricing-model difference, not a discount.
The lesson is not “buy the cheap one.” It is: model the cost at scale before you sign, because the platform that wins the demo and the platform that wins at 30 workflows are often not the same one.
