Last week, the AllFly team was on-site in Punta Cana supporting HPN Global and their clients for a program of more than 800 travelers.

When you’re managing travel for hundreds of people, success isn’t just about getting tickets booked—it’s about being prepared for the unexpected.

Here are 3 recommendations we have for any program with 400+ attendees:

1️⃣ Have on-site travel support.

No matter how well a program is planned, airline disruptions happen. Having a dedicated team on-site gives travelers peace of mind and provides a human connection when issues arise. Sometimes the biggest value isn’t fixing a problem—it’s knowing someone is there to help when one occurs.

2️⃣ Encourage travelers to download the airline app.

When delays or cancellations happen, airlines often have the fastest path to rebooking. Travelers who have the airline app installed, notifications enabled, and their reservation linked are usually able to react much faster than those waiting in line at the airport.

3️⃣ Have an emergency travel plan before you need it.

Don’t wait until a disruption occurs to make decisions. Establish communication channels in advance (WhatsApp, Teams, Slack, text, etc.) and define travel policies ahead of time.

For example: If an airline cancels a flight and can’t rebook a traveler for several days, can they book on another carrier? If so, what is the spending limit? Who approves it?

The best time to answer those questions is before a disruption—not during one.

Large programs don’t succeed because nothing goes wrong. They succeed because everyone knows what to do when something does.
