If you're thinking about turning on Microsoft Copilot, be sure to check your file permissions first.
Copilot is powerful because it reads your data in OneDrive, SharePoint, and Teams to cull data for the answers it provides. Simply put, if a user can open a file, Copilot can read it, too.
This is good for accurate insight, but it has potential to be a problem if your permissions are disorganized. You might have an old payroll spreadsheet that was shared with "Everyone" years ago. You may have forgotten it exists, but Copilot will find it instantly.
So, if an employee were to ask Copilot about pay rates for a position being listed, and that file is accessible, then AI would use that data to provide its answer.
Before you turn it on, look at your files:
- Ensure HR, Finance, and folders with employee data are restricted to the right people.
- Remove or limit access to outdated files with "Company-wide" sharing links.
- Use Microsoft's "Sensitivity Labels" (like Confidential) so Copilot knows what it can and cannot touch.

How would you stop an employee from emailing your company's confidential client list to their personal Gmail?
This is a common data leak, but Microsoft 365 has a feature to stop it called Sensitivity Labels.
Think of them as tags you apply to your company's data, like "Public," "Internal," or "Confidential."
Once you have these tags in place, you can set rules for how those files are handled, who can access them, and what can be done with them.
For example, you can create a rule that says: "If a file is marked Confidential, it cannot be sent to anyone outside our company domain."
If an employee tries to email that file to a Gmail address, Outlook will block it and warn them. This creates a safety net for your data.
Sensitivity Links are also helpful with AI tools like Copilot. When a document is labeled "Confidential," you can prevent Copilot from accessing it and sharing it to employees who shouldn't have access.

Keyboard shortcuts are the best! Here's one we like more than any other.
You know when you are in the zone, cleaning up your browser tabs, and you accidentally close the one you needed? It breaks your flow completely because now you have to dig through the "History" menu to find it again.
Not anymore! Next time it happens, just hit Ctrl + Shift + T on Windows (if you are on a Mac, it’s Cmd + Shift + T).
It will bring back the last tab you closed... And, it has a memory. So, if you closed three tabs by mistake, just hit the shortcut three times and it will reopen them one by one in the reverse order they were closed. How cool is that? Go give it a try and be amazed!

It seems like everything has a Wi-Fi connection now, even your fridge.
And while the features and design can be super cool, security is usually an afterthought for the manufacturers. But, a smart fridge is still another computer sitting on your network.
That doesn't mean hackers are tracking what you eat for dinner, but these devices are often the weak links in your network that bad actors can easily target.
If a hacker gets into the fridge, they can use it as a bridge to access the other devices and data on that same network, like your laptop or phone.
The best way to handle this... put these non-essential computer devices on a separate Wi-Fi network.
Most home routers have a "Guest Network" feature. Turn that on and connect your fridge, thermostat, and smart bulbs to it. This isolates them. So, if your smart fridge does get compromised, the damage is contained to that guest network. The attacker can't jump over to your main network where you do your important banking, work, and communicate with trusted contacts.
Now, get yourself a snack from that fancy fridge, and then be sure it's sequestered to a Guest Wi-Fi!

Smishing attacks are getting more realistic.
If you don't know what smishing is, it's basically phishing, but through text messages. The goal is to get your critical data, login info or credit card numbers.
It used to be easy to spot these, but scammers have upgraded their tactics:
- They use your real name so the message feels personal. The links look real.
- They often use HTTPS, so the little padlock icon doesn't guarantee a site is safe anymore.
- They time the texts to match real events like tax season or holiday deliveries.
- Some even try to get you to download a fake app or call a bogus support number.
The best thing to do is never click a link in a text message, even if it looks urgent.
If you are worried about an account, just open your official bank app or type the website in yourself. If there is an actual problem you should be aware of, these sources are sure to keep you informed.
