GENERAL DESCRIPTION:
The Corporate Human Resources Coordinator is responsible for providing administrative and clerical support for the HR Operations, Talent, Organizational Development, and HRIS functions of the corporate office.
JOB DUTIES:
Primary Duties:
• Processes employment applications and supports other employment activities, such as sourcing and screening applicants, coordinating and scheduling interviews, and conducting phone and in-person interviews
• Creates and maintains new employee personnel files, both paper and electronic. Ensures presence of all necessary documents and compliance paperwork.
• Process new hire paperwork and activities including I9 verification and administration. Escalates issues or non-confirmations to HR Director in a timely fashion.
• Assists with new hire orientation set-up
• Completes verifications of employment, wage statements and requests for information for unemployment benefit filings. Ensures that claims are correctly routed or delegated to the appropriate contact
• Prepares and issues monthly birthday and anniversary lists
• Enters changes to the HRIS system according to Employee Action Forms and Employee Separation Forms received. Ensures accuracy of information received and follows up on missing or invalid content. Maintains all employee changes in personnel files, both paper and electronic.
• Examines employee files in order to answer inquiries and provide information to authorized persons as requested.
• Maintains the HR Contact List for organizational charts and reference
• Codes and processes invoices. Maintains invoice tracker to facilitate flow of information to various department staff members.
• Maintains various logs, spreadsheets, and trackers such as exit interview data, invoicing, employee relations tracking and provides regular communication to management on the status of each.
• Responds to incoming departmental mail and phone calls and routes appropriately
• Greets visitors to the HR suite and escorts them to various offices as needed.
• Assists in scheduling interviews, coordinating on-site recruitment effort, and other Talent Acquisition functions as needed.
• Assists with new hire drug screening as well as quarterly random drug screening for the corporate office.
• Provides day-to-day administrative support with respect to meeting scheduling, conference room set-up, weekly HR conference calls, newsletter, agendas, food and beverage coordination, mailings, postings, etc. as requested.
• Other duties as required and assigned
REQUIREMENTS:
Education and Experience:
• High school diploma required; college degree preferred
• 1 year related experience and/or training
Essential Skills:
• Basic working knowledge of current HR practices
• Proficiency with Microsoft Office products such as Word, Excel and Outlook
• Proven ability to write clear, concise reports, professional business correspondence, and detailed process documents
• Proven ability to effectively present and communicate information and respond to questions from employees of all levels of the organization
• Proven ability to analyze and resolve practical problems and deal with a variety of variables in situations where only limited standardization exists
ENVIRONMENT:
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel. The employee is frequently required to sit, reach with hands and arms, and talk or hear. The employee must occasionally lift and/or move up to 15 pounds and may be exposed to noise in the warehouse environment, moving mechanical parts and vehicles. The employee is regularly exposed to ambient lighting and temperate climate conditions.
