As a Customer Service Representative/Dispatcher, your primary role will be working with new and existing customers to provide them with fast, courteous, and efficient solutions: gather detailed information, determine the type of service needed, schedule/dispatch or direct to proper department. As the Dispatcher, you will be required to create and maintain the Dispatch board (calendar) for technicians, installers, and sales: schedule, provide purchase orders, assist in parts procurement, follow up with technician to ensure proper documentation is obtained during service, and follow up with technician and customer to ensure work is completed. Other job duties may include working with outside vendors, assisting sales (quotes, permits, bonds, licensure), vehicle inventory/maintenance; support the Conserv-Air team to ensure superior performance of our company’s objectives and goals.
Duties and Responsibilities:
Manage phones - customer service, dispatch, transfer lines when applicable
Maintain dispatch board - schedule appointments
Monitor communications - assist technicians - distribute information
Maintain customer service contracts and records
Register equipment on Vendor websites.
Enter vendor invoices for payment
Ensure service invoices are completed properly and process as directed.
Maintain computer and paper service records, files and daily processing
Update service manager/accounting as required to ensure smooth operations
Assist others in various office duties/tasks (parts, quotes, permits, support, etc)
Assist in marketing and advertising management (social media, materials, etc.)
Skills/Qualifications:
Dispatch and customer service experience preferred
Knowledge of customer service and ethics
Excellent communication/telephone skills
Excellent verbal and written communication
Typing and scheduling
Attention to detail
Dependability and desire to succeed
Computer proficiency - online web systems, Microsoft Office Suite
Ability to multi-task and handle multiple phone calls
Ability to work with others and problem solve
