Many NEMT providers think the hardest part is completing the trip.

In reality, getting paid can be the bigger challenge.

One of the reasons providers wait weeks or even months for reimbursement is because claims can be denied, suspended, or sent back for correction before payment is issued.

Some of the most common reasons Medicaid claims are denied include:

❌ Missing trip documentation
❌ Invalid or missing member signatures
❌ Authorization mismatches
❌ Incorrect pickup, drop-off, or mileage information

When a claim is denied, providers often have to investigate the issue, gather supporting documentation, make corrections, and resubmit the claim. This can significantly delay reimbursement and impact cash flow.

One of the best ways to protect your business is by building strong documentation habits. Make sure you’re retaining records according to your state’s requirements and maintaining organized trip documentation that can support your claims if questions arise months or even years later.

It’s also important to have systems and processes in place that catch errors before claims are submitted. The cleaner the claim, the faster the path to reimbursement.

These are the types of conversations that should be happening at the NEMT Networking Mixer.

One question we hear all the time is:

"How much does my state reimburse for NEMT services?"

It sounds simple, but finding accurate reimbursement information can be surprisingly difficult. Rates vary by state, program, service level, and even by the type of transportation being provided.

If you're researching reimbursement rates, don't stop at the base rate.

Make sure you're also looking into:

✔️ Mileage reimbursement
✔️ Attendant reimbursement
✔️ Wait time policies
✔️ Prior authorization requirements
✔️ Documentation requirements
✔️ Billing and claim submission guidelines

Because here's the reality:

You can provide the transportation service, incur all the expenses, and still not get paid if you fail to meet the state's documentation and billing requirements.

Before transporting a passenger, make sure you understand exactly what is required to bill for that trip successfully.

Trust us, we've heard too many stories from providers who completed the trip only to find out later that they couldn't bill for the service.
