Job Summary:
We are seeking a detail-oriented, reliable and proactive full-time Admin Support Specialist to join our team on a full-time basis. This role is essential in ensuring timely response to our clients. The ideal candidate will be comfortable working in a fast-paced, client-focused environment and will play a key role in providing timely response to clients.

Job Responsibilities and Tasks:

Receive and process new client requests from advisors or administrative staff.
Prepare and organize account opening documents, agreements and disclosures.
Coordinate with clients to collect required information and signatures.
Input client data into CRM and systems accurately and efficiently.
Answer phone calls and direct calls to appropriate staff or take messages.
Manage client calendar and schedule client meetings with current and prospective clients.
Process paperwork and track the processing to ensure completion and accuracy.
Assist in data entry and document scanning/uploading as needed.
Required Skills and Qualifications:

Prior administrative or processing experience required.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.).
Strong phone skills
Strong attention to detail and ability to manage multiple tasks efficiently.
Ability to maintain confidentiality and handle sensitive information.
Excellent organizational and time-management skills.
Strong communication and interpersonal abilities.
Ability to work independently and as part of a team.
High school diploma or equivalent; associate or bachelor’s degree preferred.
Will need to be able to pass an FBI background check.

Job Type: Full-time

Pay: $30,000 and up plus bonus of $4000 to $12,000 depending on skills, experience, and work product.

Expected hours: 36 – 40 per week
