Are you a highly organized and detail-focused professional? AXIS Engineers Ltd is looking for an Admin Secretary who thrives in a fast-paced environment and is ready to make an impact!

The Role:
As the Admin Secretary, you will play a crucial role in supporting our management team and ensuring smooth office operations. If you're a proactive problem-solver who enjoys variety in your day-to-day tasks, this role is for you!

What You’ll Need to Succeed:
βœ… HSC holder or a Diploma/Certificate in Secretarial Studies
βœ… Solid computer skills & proficient in Microsoft Office (Word, Excel, Outlook, etc.)
βœ… Strong communication skills – both verbal & written
βœ… Minimum of 5 years’ experience in a similar role
βœ… Experience in administrative support, basic accounting, and handling correspondence
βœ… Familiar with tender submissions and e-procurement systems

Key Responsibilities:
β€’ Perform general secretarial duties: typing, filing, scheduling
β€’ Manage incoming/outgoing calls professionally
β€’ Organize and maintain office documents and records
β€’ Provide administrative support to management
β€’ Perform with basic accounting / invoicing and fee quotations
β€’ Manage the Director’s calendar, correspondence, and document drafting
β€’ Prepare agreements, reports, and company documents
β€’ Submit tender documents, including via e-procurement platforms
β€’ Handle renewals for insurance, licenses, and subscriptions
β€’ Coordinate travel, meetings, and office logistics
β€’ Ensure confidentiality and manage office supplies
β€’ Maintain employee records, attendance, and leave tracking
β€’ Support recruitment, onboarding, and HR documentation
β€’ Perform with performance reviews and liaise with labor authorities
β€’ Process invoices, receipts, and manage petty cash
β€’ Prepare and compute quarterly VAT returns
β€’ Coordinate with accountant for MRA filings
