1. Miscellaneous coordinating for network ID, e-mail access, etc for new recruits in the team.
2. Coordination with CS (Customer support) team to resolve any issue from clients.
3. Payment follow up from clients
4. Travel management of top management.
5. Facilitating periodic review of R&D project progress with management and internal departments.
6. Arranging air/hotel/ground transportation while creating detailed travel itineraries.
7. Managing executives calendar and set up meetings.
8. Acting as point of contact among executives, clients , employees, and other external partners.
9. Organising and managing appointments and calendar
10. Organising domestic and foreign travel
11. Arranging Visa Processing Arranging and organising visits for guests of MD (travel, hotel, taxi etc.) Maintaining MD's office Renovation coordination of MD's office (as and when required)
12. Client visit schedule and plan – coordination; Alert MD about cancellations and new meetings.
13. Preparing expense reports and submitting for reimbursement.
14. Arranging meetings which includes concerned persons/ departments and making necessary arrangements like ordering lunch, booking conference rooms setting up projector or video conferencing units.
15. Maintaining files and records.
16. Supporting team in booking meeting rooms and any other tasks as and when required
17. Performing day-to-day secretarial, administrative and analytical duties for the MD including:
a) Facilitating complex calendar, fixing appointments and meetings
b) Researching and assembling data for reports & special projects and development of presentation material
c) Preparing various business letters, quotations and proposals
d) Arranging Pre & post-meeting requisites like agenda & resolutions of the meetings
e) Maintaining all important documents & files pertaining to office work
f) Supporting the planning and ex*****on of various events, meetings & conferences
g) Rendering complete administrative support to the Managing Director entailing:
h) Providing confidential support services, dealing with a variety of sensitive and other general departmental issues
18. Interacting with other members of the senior management team, within India and overseas, to furnish and obtain information
19. Coordinating with Branch Offices within India and Overseas network agencies for various issues
20. Maintaining customer confidence and smooth protect operations by keeping information confidential
21. Ensuring timely completion of projects by assigning work to staff and following-up for results

Contacting Prospects:
A. Telephone calls are made to communicate with prospects generated through...
(i) References given by the existing customers.
(ii) Campaigns/ Exhibitions conducted by the Marketing department.
(iii) Direct Web responses from customers visiting our company website.
The factors involved while making this conversation are:
a) Analyzing the prospects Need
b) Building a strong Rapport
c) Tone and voice modulation
B. Emails are sent to prospects requiring more information in order to take an informed decision.
2. Documentation Assistance:
a. The PAF (Product Application Form) and the ECS (Electronic Clearance System) form are to be
filled in. The prospect must be assisted in filling and signing these forms.
b. The prospect will be informed about the number of cheques and other requirements to be met
for making this booking.

3. Collecting the Cheques related to the sale:
a. The job holder will ensure to collect all the cheques related to the sale such as the down
payment cheques, the cheques for ECS, the security cheques, and any other deferred payment
cheques if applicable.

b. As per the process a sale is not complete and will not be considered until all the payments are
cleared or all the relevant valid cheques are collected and acknowledged by the documentation
or finance team.

4. Updating the CRM system:
a. After contacting a suspect/prospect, if there was a positive or a neutral response, a Lead is
created within the CRM system.
b. If closure happens, the Lead is converted into a Contact
c. Then the Customer-ID and the Booking-ID are created.
d. The Payment details/ Payment plan are entered.
e. The Minutes of Meeting is recorded for each meeting with a Lead/ Contact/ Customer.
f. When Site-Visits happen, the details of the same are recorded for future reference.

5. Communication post the initial payment:
As soon as the initial payment is en-cashed, the following are sent to the customer...
a. The receipt for the initial payment and an acknowledgement letter.
When the Token-Receipt cm Agreement (TRA) is ready for dispatch, the job holder will
proof read the TRA to ensure the right information is printed.
b. Company profile, Business card and other applicable brochures are sent to the customer.
c. Photocopy of the filled-in PAF is sent to the customer for his personal reference.

6. Follow-up calls and Relationship calls:
a. Follow-up calls are made before closure in order to build a strong rapport.
b. Relationship calls are made after the closure to build a strong relationship for future business.
This call is made approximately after every two weeks/ every month.
c. Initially after the sale the job holder will introduce the respective Relationship Manager to
manage the specific customers account and ensure any doubt or issue be clarified. This RM
will also provide constant update on the project development purchased by the customer.
d. The Minutes of Meeting (MOM) is sent to the customer for his/her reference. This
information is also recorded in the CRM system.
e. A Thank-You mail is sent to acknowledge the customer for choosing Expat to meet their Real
Estate investment needs.
7. Sales Performance Review:
1. The Job holder will present to the superior, the quarterly target achievement, and the forecast
for the remaining quarters/ months that are yet to be achieved.
2. Identify reasons for failures and also the possible ways to overcome them in the subsequent
months.
8. Working with other teams that are supporting Sales:
1. Coordinate with the Sales Support to ensure the said units are blocked/ booked.
2. Closely working with the reporting Sales Manager in coordinating with the Central Operations
that provides the relevant documents for the customer.
3. Closely working with the reporting Sales Manager in coordinating with the Legal department
to get the required legal documents for the projects.
4. Coordinate with the Marketing team to ensure the required collaterals are available in time.
5. Follow-up with the Finance for the Chanel Partners commissions. This is to ensure the CPs get
their commissions in time and stay motivated to provide continued business.
6. Coordinate with the Site-Visit officer for any site visits that the customer/ prospect may be
interested in.
9. Escalation Management:
The job holder will escalate critical issues to the Sales Manager and ensure there is a resolution
to the matter with contextual sensitivity and a smooth functioning of the sales activity.
