How to make a custom datasheet in Microsoft Access?

Often, datasheets are used as sub-forms at the bottom of main forms that display related data, from the same record source. So, the main form shows one record, and the datasheet shows all the records in rows having a one-to-many relationship.

𝐇𝐨𝐰 𝐭𝐨 𝐜𝐫𝐞𝐚𝐭𝐞 𝐚 𝐝𝐞𝐟𝐚𝐮𝐥𝐭 𝐃𝐚𝐭𝐚𝐬𝐡𝐞𝐞𝐭:
1. Open the Create tab in the Access ribbon.
2. Select a data table or query.
3. In the Forms group, click on the More Forms, click Datasheet. Your datasheet is created.
4. Go to Design View, then in the Property Sheet of the Form on the right side, select No beside ‘Allow Form View’.

𝗛𝗼𝘄 𝘁𝗼 𝗰𝗿𝗲𝗮𝘁𝗲 𝗮 𝗰𝘂𝘀𝘁𝗼𝗺 𝗗𝗮𝘁𝗮𝘀𝗵𝗲𝗲𝘁:
1. Open the Create tab in the Access ribbon.
2. In the Forms group, click on the Form Wizard.
3. Select the table or query that contains the data you want in your datasheet.
4. Add the fields you want to display in your form and click Next.
5. Choose the Datasheet layout option Tabular Format and click Next.
6. Give your form a name and click Finish.

Access will create a new form that displays your data in a datasheet-like view. You can then customize this form further by adding or removing fields, changing their order, and applying formatting. You see in the image; I have customized the layout and color of the datasheet.

How to create a form in Microsoft Access
Forms in a Microsoft Access database store data that enables users to create, read, edit and delete data, like a display case that stores goods in a shop.

Different types of forms:
You can create normal form with data, blank form, split form, sub form used as a data sheet, navigation form etc.

Steps to Create a Form:
1. Open your Access database and select the data source: a table or query in the object pane, just click the table or query, it is selected.
2. Go to the Create tab in the Access ribbon.
3. Click on the Form button.
4. Access will automatically generate a new form based on your selected table or query. You hav one single record on the form in text boxes. The form, by default, in the layout view. There you can resize the labels and text boxes (height, length). On the bottom, there is a navigation bar with search box. You can go to the first, previous, next and last record.
5. You can switch to Design View to customize the form's appearance and functionality, fonts, color etc.
6. Click the Save icon with a name for the form.
7. Open the form in Form View and use your form.

This is the form that is created through the above steps. Then I resized the labels and text boxes and put borders.

This is the real form I have created, and the users are using. I have added command buttons and icons to the buttons and added a search box.

To mention, this is a warehouse management database I created in 2023, for a company in Tampa, Florida. I have been working for the company on a project basis till today.
