I have had this conversation many many times.
A practice owner calls panicking about the marketing not working, no new patients, ready to fire the ad agency.
But when you look at the data: the marketing drove the calls. The calls came in.
Something happened between the ring and the booking that killed the conversion.
That something is almost always the front desk fumbling the insurance question or playing phone tag for three days.
Before you end the marketing contract, listen to your last 10 new patient calls.
Here is something most startup dentists do not think about when choosing which insurances to accept:
Who are the biggest employers in your market? And what insurance do they carry?
School districts and government jobs tend to be great consistent, good coverage, predictable patient base.
If you can get credentialed with the dominant employer in your area early, you fill chairs faster. That is not a coincidence.

What an incredible time we had at PNDC! We loved connecting with dental professionals, practice owners, and team members who are passionate about growing their practices and creating exceptional patient experiences.
One of the best parts of attending events like these is the opportunity to have meaningful conversations, exchange ideas, and learn more about the challenges and opportunities practices are facing today. We were grateful for every person who stopped by our booth to share their story, ask questions, and learn more about how strong systems can create lasting results.

The marketing company did everything right, yet the practice still has no new patients. The marketing team nailed the demographics. Built a great website. Drove calls. You got some good reviews.
And... the front desk fumbled on answering the insurance question.
Not a little fumble., a "I 'm not sure, when you come in we can figure it out" kind of fumble.
Or... Two phone-tag attempts later, and the patient booked somewhere else.
That's what we call fumbling on the one-yard-line. Marketing can get you the calls. But what happens on those calls is on your team.
If you have a front office that is not capturing those new patients, the marketing budget is not your problem. Answering the phone is.

I had this conversation with a marketing expert last week and it completely reframed how I think about startup marketing.
He said something I wish more startup dentists heard before they spent a dollar on marketing:
No marketing in the world will make someone need a dentist.
You either need one or you don't.
The demand is already there. People get toothaches. People have emergencies. People move into a new area and have to find a dentist!
Your job is not to create the demand for dentistry, it is to show up when the search happens.
This changes everything about how you evaluate a location, how you build your website, and where you spend your first marketing dollar.

Many times we walk into practices that are off-track, and it's the same bad scene:
The doc is burned out, the staff are working hard, but no one is aligned. I mention this all the time.
Actually, it’s like watching my five year old starting out in soccer. Everyone bunches around the soccer ball trying to kick at it. There’s no formation, no plan, it's just chaotic.
Then the coach hands out red shirts and yellow shirts and points to the goals: “Your goal is there.” “Your goal is over there.” Suddenly the whole game shifts.
That’s the effect of sharing the right numbers with your team. Its not sharing the profit margins & overhead. It's not what you're pocketing, but it's the metrics that reflect how well you’re caring for patients:
→ Hygiene reappointment rate
→ Treatment acceptance
→ Schedule fill
→ Cancellation and no-show rate
Give your team a clear target and they’ll sprint toward it. Keep the numbers to yourself and they’ll keep clustering around the ball.
Keep the numbers hidden, and they'll keep clustering around the ball kicking it around the field aimlessly.

We're Hiring — and This One's Not for Everyone. 🦷
I'm looking for a very specific person to join our team as a Dental Consultant to work directly with me helping doctors get into ownership — This position will be serving clients in two high-impact capacities: Dental Startup Coach and Dental Buyer Representative.
This isn't an entry-level role. Here's what that means:
✅ 5–7 years in the dental industry (clinical, management, or consulting)
✅ Proven sales experience — you know how to earn trust and close
âś… Deep understanding of how dentists get into ownership
âś… Someone who can coach a doctor through a startup or acquisition and never miss a detail
As a Startup Coach, you'll guide dentists through every phase of launching a new practice — from business planning and demographics through project management, hiring, systems, and their first 3 months of production/ownership. If you don’t have all the experience for this role don’t worry, you will be side by side with me or my team.
As a Buyer Representative, you'll serve as an independent advocate for dentists acquiring an existing practice — running valuations (don’t worry I can help you), leading due diligence, and walking clients through a 98-point checklist to the closing table.
One role. Two programs. Total ownership of the client experience.
