Free backup software has come a long way.
In 2026, many free tools include:
✔️ Cloud backup
✔️ Scheduling
✔️ Retention policies
The catch? Not every tool fits every user.
A freelancer, a homelab owner, and a home user often need completely different solutions – and the wrong pick means a restore that fails when it matters most.
We reviewed 12 free backup tools and mapped them to the people they're best suited for.

You've probably heard of Full, Incremental, and Differential backups. Most teams treat them as equal alternatives – and that's a mistake.
Let's break it down ⤵️
🔵 Full Backup = the foundation. A complete copy of everything. Non-negotiable. This is where every backup strategy begins – no exceptions.
🟢 Incremental Backup = only what's new. After the Full, each run saves just the changes since the last backup. Minimal storage, minimal time. The catch: restoring requires every single Incremental, chained together in sequence.
🟠 Differential Backup = everything since the Full. After the Full, each run captures all changes since that Full was taken. It grows with each passing day, but recovery never gets more complicated than two files: the Full and the latest Differential.
The key is understanding that Full is the non-negotiable starting point – and the choice between Incremental and Differential is what you layer on top.
→ Incremental = smaller backups, more complex restore
→ Differential = larger backups, simpler restore
Which strategy is your team actually running?

One of the easiest ways to reduce ticket volume? Handle the issue before a ticket even gets created.
A solid RMM workflow isn’t just about monitoring alerts – it's about what happens next.
A practical setup we see a lot:
🟢 Low disk space → cleanup script runs automatically
🟢 Service stopped → restart attempt fires first
🟢 High CPU usage → remediation script checks the process before escalation
If the issue gets resolved automatically, it's logged and closed.
If not, it escalates to a human.
That simple first-pass automation can save a surprising amount of engineering time and reduce unnecessary tickets without adding headcount.
MSP360 RMM supports script-based remediation triggered directly from alerts, plus persistent hardware/software inventory across endpoints – useful for tracking version drift, audits, and lifecycle planning across client environments.

A reliable Microsoft 365 backup strategy isn't one control – it's a system.
In our latest guide, we map out what actually keeps M365 data resilient:
• Store immutable backups externally, following the 3-2-1 rule
• Run quarterly restore tests and validate your recovery time objectives
• Enforce MFA, block legacy authentication, and apply least-privilege access
• Classify sensitive data with DLP policies and Purview sensitivity labels
• Monitor for anomalies and feed audit logs into your SIEM
Responsibility for your data ultimately rests with you. Here's how to act on it → https://hubs.ly/Q04hwBvB0

Your Google Drive data needs protection – but handing it to the wrong vendor can cost you more than no backup at all.
The market for Google Drive and Shared Drive protection has gotten crowded, and the options aren't interchangeable, they differ in storage models, recovery capabilities, licensing, and how much control you actually keep over your own data. And there's no single "best" here – the right fit depends on whether you're an MSP, an enterprise IT team, or a small business with a lean stack.
A recent TechBullion roundup – "Best 11 Backup Solutions for Google Drive" – puts the major vendors side by side, with the main strengths and trade-offs of each.
If you're trying to decide who to trust with your data, this roundup is a good place to start. MSP360 is one of the vendors covered – take a look and compare the options for yourself → https://hubs.ly/Q04gBG2N0

GFS (Grandfather-Father-Son) retention has been around for decades because it solves a real backup problem – how do you keep enough recovery history without paying to store every daily snapshot forever?
The idea is simple:
• Keep daily recovery points for a week
• Weekly for a month
• Monthly for a year
That gives you access to last Tuesday and last March without the storage cost of keeping 365 daily snapshots simultaneously.
MSP360 Backup Pro supports GFS retention with configurable intervals and explicit purge windows.
Beyond cost management, this also matters for compliance – documented retention schedules with defined purge dates are increasingly expected as part of backup policy.
