There are two types of small business owners: the ones who find themselves 12 months behind on their bookkeeping, and the ones who implement *these* daily habits and ultimately have clean books.

If you want to be #2 , here's what I recommend:

→ Open up a separate business bank account and use it ONLY for business expenses.

→ Whenever you get a receipt, save it in a "Receipts" folder in your email or Google Drive.

→ If you have a weird transaction or a CPA question, write it down in an email draft. Then, at the end of the month (or year, whatever makes sense), send it!

Having cash flow issues as a small business owner doesn't necessarily mean you're spending too much... sometimes it just means you're spending at the wrong time!

There are a few common cash flow surprises that cause real issues in my clients' books, like estimated tax payments, owners' draws, and uneven income months. 💰

If you aren't planning for these expenses proactively, you're making it so much tougher to stay cash flow positive!

So, how do you stay proactive?

It starts with weekly check-ins on what you expect to come in, and what you need to pay for, in the next week.

Then, on a more macro level, take a 60-day rolling look at your expected cash inflows and outflows to spot potential issues early.

Advice I'd give to anyone starting a small business in 2026: ↓

Build the foundational systems of your business like you're going to be doing 6+ figures of business tomorrow.

That means opening up a bank account specifically for your business, choosing the right entity type (LLC, sole prop, S corp, etc.), getting all necessary licenses + permits, and building out your support team.

"Oh yeah, I do EVERYTHING myself," said no successful business owner ever. 🤭

You don't have to do *all* the things you see online to win as a small business owner, you've just got to do the *right* things!

In today's economy, every dollar you can keep counts! 💸

Here's the advice I find myself giving over and over again to small business owners to help save some $$$:

→ Do a subscription audit.

Look at your last month's bank statements and highlight each subscription.

Ask yourself: Is keeping this subscription worth it for my business? If yes, is there an option to upgrade to paying annually and saving?

→ Review the rest of your vendors, like your utilities, insurance, bank, and payment processor.

Compare rates from other providers to see if your current provider will match them, or consider switching to the lower cost option!

→ Make sure you're tracking every expense.

When you forget to track tax-deductible expenses in your bookkeeping, your tax accountant has no way of knowing to include them on your return.

If you have your bank account synced to your bookkeeping, that's a great first step in making sure everything's recorded. ✅

But those business expenses you keep accidentally putting on your personal card? Forgetting those means you're overpaying in taxes!
