Ops & Project Support Coordinator (EA)
Location: Remote
Hours: Mon–Fri, 9am–5pm AEST (7am–3pm PHT)
Type: Full-time | Start: ASAP | Rate: TBC

About the Role
We're looking for an organised, proactive Ops & Project Support Coordinator (EA) to handle day-to-day operational, administrative, and project support. This is a hands-on role for someone comfortable working independently, following documented processes, and communicating progress without being asked. Property or real estate admin experience is a plus but not essential.

Key Responsibilities
• Manage inboxes per documented SOPs
• Maintain the deal pipeline in monday.com (sourcing to settlement)
• Screen site leads against the buy box and log outcomes
• Prepare weekly client pipeline updates and support monthly reporting
• Assemble client-facing opportunity packs
• Coordinate client onboarding and scheduling
• Maintain trackers, records and process documentation
• Provide general calendar, admin and EA support
• Flag issues or follow-ups proactively

What We're Looking For
• EA, operations, admin or executive support experience
• Property/real estate admin experience preferred
• Strong written and verbal English
• Organized, detail-focused, and self-directed
• Proactive communicator who follows through
• Comfortable with SOPs, trackers and CRM platforms
• Able to juggle priorities and meet deadlines

Above all, we need someone who takes ownership and gets things done without being chased.

Software & Systems:
Must be comfortable with: monday.com, Google Workspace, and CRM/tracker systems.

Nice to have: DocuSign, Xero, WhatsApp for Business, AI tools (ChatGPT, Claude etc.).

No formal qualification required — we value experience, reliability and initiative.

Working Arrangement:
This is a full-time, dedicated role supporting the company, Monday to Friday 9am–5pm AEST (7am–3pm PHT). No concurrent engagements with other businesses or clients.
