Key Accountabilities:
• Maintaining a functioning, efficient and professional office.
• Front Desk/Reception.
• Clerical/Administrative support to the Project Managers/Estimators and the General Manager.
Responsibilities:
• Be the first point of contact to greet, assist and direct any vendor, supplier, customer or other walk-ins appropriately, as well as deliveries/recycling/courier services and other
• Answer, screen and direct incoming phone calls and management of all general email inquiries.
• Receive and sort daily incoming mail/inter-office documents
• Ensure office supplies, binders, water, coffee etc., is always stocked
• Ensure reception area and all common areas throughout the office are tidy and presentable with all
necessary stationery and materials to do business
• Organize office equipment maintenance, ordering general office and printer supplies
• Maintain office security by following safety procedures and controlling access via the reception
desk (manage building access keys & alarm codes, monitor logbook, keep a current employee
contact list, issue visitor badges etc.)
• Perform other clerical receptionist duties such as scanning, filing, photocopying, transcribing,
arranging courier services and faxing
• Order and manage/assign EWO books, Blue Books and any other required carbon copy booklets
• Order/download/print/organize bid and project documents & drawings in binders
• Arrange and manage off-site printing for drawings, proposals, and miscellaneous requests
• Assist with formatting, Word documentation, and spreadsheets used to procure or construct work
• Organize and file hard copy and digital file, scanning documents and data entry
• WCB Clearance Letter renewal
• Expense reports; year-end/Christmas arrangements; monthly vacation calendar; writing meeting
minutes; in-office charitable campaigns, in-office staff lunches
Requirements:
• Post-secondary education in office administration or two or more years of administration experience in an office environment. A construction office an asset.
• Strong verbal and written English communication skills required
• Advanced Microsoft Office applications required (Word, Excel, PowerPoint, Outlook)
• Good knowledge of standard office practices, methods and equipment
• Strong organizational and prioritizing skills
• Ability to work toward deadlines and manage conflicting priorities
• Ability to be resourceful and proactive when issues arise
